Your new role
Job Title: Administrative Assistant
- Reporting to the Admin Manager based in Singapore, you will provide comprehensive administrative support to the assigned department, ensuring seamless operations and effective collaboration with partners, team members, and stakeholders.
- Your key responsibilities will include managing calendars for senior personnel, coordinating meetings, room bookings, and minute-taking. You will also prepare slides, reports, and presentations, and arrange travel arrangements (flights, hotels, visas, car arrangements). Additionally, you will work closely with team members and stakeholders to process travel and expense claims via Concur.
- Other logistical responsibilities include managing department stationery, printers, cabinet access, and fringe benefits. You will also coordinate visitor arrangements, including agendas, meetings, transportation, and meals.
- As part of the administrative team, you will cover reception duty on a rotation basis and attend monthly admin meetings, taking minutes on rotation. You will adapt to varied assignments and changes and perform other ad-hoc duties as assigned.
What you’ll need to succeed
- At least 3 years' relevant administrative experience
- Proficiency in Microsoft tools
- Experience in minute-writing, travel arrangement, and Concur (an advantage)
